HiveRec

One calm place to run your temp agency.

A recruitment CRM with pay and bill for UK temp agencies. Register and vet people, book shifts, get hours approved and bill your clients. HiveRec checks the UK rules at the moments that matter, so problems show up before a booking, not after it.

Looking for founding agencies

SRS Recruiting has shaped HiveRec as its design partner from the start. No agency pays for HiveRec yet. We are looking for a small group of founding agencies.

Overview

HiveRec is a recruitment CRM with pay and bill for UK temp agencies. It keeps the whole lifecycle in one record: registration and onboarding, right to work and document checks, bookings, timesheet approval, pay and bill runs and invoices.

Many agencies run registration in one place, compliance in a spreadsheet, bookings on a whiteboard and pay and bill somewhere else. Every handover is a chance to book someone who should not be booked, or to bill the wrong rate. HiveRec keeps it all in one record, from the first registration link to the last invoice.

It was built with SRS Recruiting Limited, a UK driving agency, as its design partner, around the real work of registering drivers, booking nights and chasing timesheets. Then it was opened up for every temp sector.

Who it's for

For UK temp agencies, in any sector

HiveRec is for UK agencies that supply temporary workers. It suits teams who want one system instead of several.

It is software your agency runs, not a staffing marketplace. Your workers, clients and data stay yours.

Start from a sector pack with the job titles, documents and questions your sector expects, then change anything. A pack only adds, and shows you a preview first. Your own words, such as Drivers, Carers or Officers, show on every screen.

Nine sector packs

  • Driving and logisticsDrivers
  • Warehouse and industrialOperatives
  • Healthcare and social careCarers
  • Hospitality and eventsTemps
  • EducationCandidates
  • Cleaning and facilitiesOperatives
  • SecurityOfficers
  • ConstructionOperatives
  • Office and commercialTemps

A good fit if you

  • Supply temps in the UK
  • Book shifts week to week
  • Want registration, compliance, bookings and pay and bill in one place
  • Want to help shape the product

Maybe not yet if you

  • Need an app in the app stores
  • Need payroll run inside the same system
  • Recruit only for permanent roles
  • Need a public API today
What makes it tick

Highlights

One record, start to finish

From the first registration link to the last invoice. Each step hands the next one checked information.

Checked before it's booked

Right to work, documents, client rules, working time, drivers' hours and the AWR 12-week clock, on every way of booking.

Pay & bill built in

Approved hours become pay and bill runs and invoices, with the margin shown before you commit.

Built for many agencies

Nine sector packs, your own words on every screen, and each agency's data kept apart.

A temp's journey

From first registration to final invoice

HiveRec follows the order your agency works in. Each step hands the next one checked information.

Ten steps, in five stages: recruit, onboard and comply, book, hours and approval, then pay and bill.

  1. Recruit

    Registers on a phone

A temp signs up from a registration link or QR code, on the phone they already have.

    • A form built for phones: camera uploads, UK checks on NI numbers, sort codes and mobile numbers, and Save and finish later.
    • Screening rules sort new people into Fast track, Call first or Screened out. A person always reviews anyone screened out.
    • Duplicate checks on email, phone, NI number, licence number, and name with date of birth.
    • Each registration is kept as its own signed record, with the exact wording they agreed to and the time.
  2. Onboard and comply

    Onboarding and document checks

One onboarding board shows who is waiting, and for how long.

    • Four lanes: Link sent, Started, Waiting for worker and To review.
    • Documents only count once someone approves them. A review queue shows every upload, oldest first.
    • Key Information Documents, terms and policies are signed on the worker's phone. Each signed copy keeps the exact wording, the signature and the time.
    • Reference requests by email, and reminders before anything expires: at 60, 30, 14, 7 and 0 days by default, each with a personal upload link.
  3. Onboard and comply

    Right to work

Guided checks for all three Home Office routes.

    • A manual check of original documents, an online check with a share code, or a digital identity check through a certified provider, with HiveRec recording the result.
    • Every item on the Home Office checklist must be ticked before a check can pass.
    • Follow-up dates for time-limited permission, with a warning 60 days before by default.
    • Weekly hours limits, such as 20 hours for a student in term time, warned at booking.
  4. Onboard and comply

    The approval gate

Everyone goes through one gate to Active.

    • Every way in lands as Pending: a registration, a converted applicant, Add worker or an import.
    • Missing, rejected or unreviewed documents, or no job title, must be put right before anyone becomes Active. Flagged answers must be ticked as read.
    • An expired document or a failed licence check can only be passed by an owner or admin, with a written reason that is kept.
    • Reactivating someone goes through the same gate. Once approved, the worker gets a welcome email with a link to their agency's own sign-in page for the worker app.
  5. Book

    Booked, or refused

The same checks run on every way of booking: the shift page, the weekly plan, a shift offer or Copy last week.

    • Documents approved and in date on the day of the shift, right to work, and the client's and site's own requirements.
    • Rest between shifts, the 48-hour average, and drivers' hours for lorry work.
    • Do-not-return lists, holidays, double bookings and the AWR 12-week clock.
    • Where a rule is clear, the booking is refused: a failed right to work check stops it. Owners and admins can book past most blocks with a written reason, which is recorded. Some legal limits cannot be overridden at all.
    • Shift offers go to a ranked shortlist: everyone at once, one person first, or in timed waves. Two people can never take the last place.

Being connectedText messages for shift offers and reminders. Email is used until then.

  6. Book

    Confirmed in writing

The worker and the client both get the booking in writing.

    • Written confirmations to the worker and the client for every booking, built around reg 21 of the Conduct Regulations. Every message is kept.
    • Workers are asked to confirm they're on the evening before, with one reminder. Nobody is taken off automatically.
    • The Today board shows open places, who hasn't confirmed they're on, late starts and no-shows, for today and tomorrow.
    • Cancel a shift, take someone off or change times in one place. It tells the worker and the client, and can be undone for 10 minutes.
  7. Hours and approval

Hours approved in the client portal

One source of hours, priced as they come in.

    • Workers send hours from the app, or the office types the week into Enter hours.
    • Each line is priced from the rate card in force that day, for that site and job title, including nights, weekends, bank holidays and overtime.
    • Clients approve or query each timesheet in their portal, by site and week, or from an emailed link. They never see pay rates.
    • Approved hours are locked. Hours can be locked for pay before the client approves, with a reason, so workers are not held up (reg 12).
  8. Pay and bill

    The pay and bill run

See the margin before you commit.

    • Preview a period from locked timesheets: pay, holiday pay, extras, charge, VAT and margin.
    • Holiday built up by pay week for irregular hours (reg 15B) and paid when taken, or rolled up at 12.07% where the worker's contract provides for it.
    • Statutory Sick Pay worked out from day one. The office records sickness, or the worker reports it in the app.
    • The AWR clock prices after-12-week rates from the qualifying date, day by day.
    • Pay below the minimum wage is held out of the run, with the shortfall shown.
    • A run can't be committed twice, and committed figures never change.
  9. Pay and bill

    Pay lines for payroll

    HiveRec doesn't run payroll.

    • It works out each worker's pay lines from approved hours and rate cards, with holiday pay and Statutory Sick Pay.
    • Payroll files for each pay run, in the import formats of IRIS Staffology Payroll, BrightPay and Sage 50, with a pack of spreadsheets for your accountant. Your payroll software or bureau works out tax and NI and runs payroll.
    • Umbrella company checks: an approved list with due diligence reviews. Booking someone through an umbrella that isn't approved warns you, and their pay to it is held.

Being connectedSending pay lines straight to IRIS Staffology Payroll.

  10. Pay and bill

    Invoices

Commit the run to draft an invoice for each client. Issue it to give it the next number, then email the PDF from HiveRec.

    • Pay and invoices come from the same committed run.
    • Your logo on invoices, as on registration, sign-in and the client portal.
    • Credit notes and reversals put a committed run right for everyone, one worker or one client, with exact negative figures and a credit note for an invoice already issued.
    • What each client owes, and for how long, with statements and payment reminders you can switch on.
    • Invoices in the client portal, once you switch them on, with the timesheets behind each one and who approved them.
    • Xero: invoices go across to Xero, and payments and unpaid invoices come back, so what each client owes and their statements include it.
Compliance

The rules, named, and checked where the work happens

HiveRec is built around the UK rules temp agencies work under. It checks them when they matter: when someone registers, when you book, when hours come in. Each check names the rule behind it.

How HiveRec treats a rule

  • Block when the rule is clear.A failed right to work check stops a booking.
  • Warn when it isn't.Where the rules leave a point open, HiveRec warns, and you can choose to block instead.
  • Ask for a reason to override.Owners and admins can book past most blocks with a written reason. Some legal limits cannot be overridden at all.
  • Keep the record.Checks, signed copies, overrides and changes are kept with who, when and why.

Right to work

Immigration, Asylum and Nationality Act 2006 · Home Office employer's guide

  • Guided checks for the three Home Office routes, with every checklist item ticked before a check can pass.
  • Follow-up dates for time-limited permission, and bookings blocked once permission lapses.
  • Weekly hours limits, such as 20 hours for a student in term time, warned at booking.
  • Copies kept for the length of the engagement plus 2 years.

Working time

Working Time Regulations 1998 · Road Transport (Working Time) Regulations 2005 · Regulation (EC) 561/2006

  • Rest between shifts, the 48-hour average with opt-outs and notice, night work and young workers, checked at booking.
  • Holiday requests with less notice than the rules expect (reg 15) flagged.
  • With the driving tools, each booking is classed from the vehicle and journeys, and the 60-hour week and 48-hour average for mobile workers are checked across all their bookings.
  • Drivers declare work for other operators in the app (reg 11), or the office records it from a call.

The AWR 12-week clock

Agency Workers Regulations 2010

  • One 12-week clock for each worker, hirer and role, worked out from the days actually worked.
  • Breaks pause or reset the clock by reason: a break of up to 6 weeks pauses it, sickness and jury service pause it for up to 28 weeks, and pregnancy and maternity leave count as worked.
  • A warning at 10 weeks, and a task for the account owner.
  • After-12-week rates priced from the qualifying date, and patterns that may be avoidance (reg 9) flagged.

Confirmations and agency terms

Conduct of Employment Agencies and Employment Businesses Regulations 2003

  • Written confirmations to the worker and the client for every booking (reg 21).
  • Key Information Documents for each payment route, sent and signed on the worker's phone (reg 13A).
  • Terms of business with clients (reg 17), signed online. A client without agreed terms can be refused new bookings.
  • Information from the hirer captured per client or per booking (reg 18), and records kept for at least a year (reg 29).

Driving licence checks

With the driving tools

  • Licence checks recorded from gov.uk with the driver's consent.
  • Re-checks scheduled by penalty points, and client and insurer rules on points and endorsement codes.
  • Driver CPC, digital tachograph cards, D4 medicals and ADR certificates tracked with their expiry dates.

Being connectedAutomatic driving licence checks through a DVLA-approved provider. Until then you record gov.uk checks in HiveRec.

Data protection

UK GDPR · Data Protection Act 2018 · PECR

  • Privacy notice acknowledged at registration, with the version recorded, and separate opt-ins for marketing and for sharing a profile with clients.
  • A retention period for each kind of record, with legal minimums you cannot set lower. Nothing is erased until a person confirms it.
  • Subject access exports, requests tracked against their deadlines, and erasure that respects legal holds.
  • Health and criminal record answers visible only to the roles you choose.

HiveRec helps you follow the rules. It is not legal advice. Have your adviser check starter documents and settings before you use them. Compliance on hiverec.io (opens in a new tab)

Portal and app

A portal for clients. An app for workers.

A portal for the businesses you supply, and an app for the people you place. Both carry your agency's name and logo.

The worker app

Everything a worker needs, on the phone they already have.

  • The next shift, with the address, directions, who to ask for, PPE and what to bring.
  • Things to do: documents to sign, documents to renew and hours to send.
  • Hours: start, finish and break, plus night-out or expenses where the rate card allows.
  • Availability for the next four weeks, in a few taps.
  • Holiday requests against their balance.
  • Shift offers and “are you still on?”, answered with a tap.
  • What each pay run sent for them. Payroll still issues the payslip.
  • For drivers: declare other work for the working time checks.

It runs in any phone browser, so there is nothing to install. Workers sign in with a link sent to their email, so there are no passwords to forget.

The client portal

Clients help themselves, and only see what they should.

  • Who's coming: names, job titles, relevant skills and whether their checks are in date. Never contact details, date of birth or bank details.
  • Request cover for one day or chosen weekdays, then change or cancel before your cut-off.
  • Approve or query timesheets by site and week. Pay rates are never shown.
  • Rate workers, mark favourites, report an incident or ask for someone not to come back.
  • Rebook last week in one go.
  • Spend by site and job title, with AWR figures, for finance contacts.
  • Invoices, credit notes and a statement, as PDFs, once you switch them on, for contacts whose role allows it.
  • Documents you share, with a record of who downloaded them, and terms of business signed in the portal.
  • Each contact sees only their own sites, and only what their role allows.

Your logo and colour on the portal and its sign-in page. Owners and admins can view the portal as a contact, read only.

Security

Looking after your data

Agencies hold passports, bank details and health answers. This is how HiveRec looks after them, and keeps each agency's data apart.

Personal data encrypted

NI numbers, bank details, dates of birth and right to work share codes are encrypted in the database and shown masked. Revealing one is recorded.

Two-step login for staff

Owners, admins and payroll staff enter a code from an authenticator app as well as the emailed sign-in link. An agency can ask it of every member of staff.

Each agency sees only its own data

Every page, action and download checks who you are and what your role allows. An automated test checks that each agency only sees its own data.

No passwords to leak

Staff, workers and clients sign in with a one-time link sent by email.

Bank changes checked

A change to bank details already on file alerts the office, and the worker is flagged until a colleague records a phone check. Changes are kept in an activity log.
